Office Manager

The Center for Watershed Protection is looking for an Office Manager to handle multiple duties for a small non-profit organization. This position is ideal for motivated, organized self-starters who thrive on getting things done, learning, helping others, and working with technical and administrative staff. The office manager will report to the Senior Research Analyst and will provide membership support, board support, project support, bookkeeping assistance, operational support, and communications support to ensure the effectiveness of the organization. The ideal candidate is proficient in Office packages, detail-oriented, great at communication, positive, high-energy, and extremely organized. The Center provides a comprehensive benefits package including health care, 401K, and a flexible leave plan. This is an on-site job in Ellicott City with some flexibility for work at home after six months.

Responsibilities Include:

Board Support (3 days/ month)

  • Provide primary support to the Executive Director for board duties including sending out meeting notices, tracking attendance, posting board information, and eventually spearheading all the support functions of meetings

Membership Support (5 days/ month)

  • Provide primary membership management including database updates, member recruitment, and member support
  • Provide regular Patron support by making phone calls and ensuring they receive top notch service

Communications Support (3 days/ month)

  • Providing registration and other administrative assistance at conferences
  • Provide administrative and marketing support for various Center events
  • Maintain contact database and send marketing and communications emails to contact list using Constant Contact
  • Provide administrative support on other communications functions, such as the Online Watershed Library, social media and Lunch and Learns.

Operational Support (4 days/ month)

  • Provide administrative and other support to Project Managers for various projects
  • Run errands to bank, for meeting food, banking, and other needs
  • Mail packages as needed
  • Help manage supplies per the IT manager

Financial Assistance (3 days/ month)

  • Perform a variety of financial duties and provide assistance to the Financial Officer.

Executive Director Support (1 day/month)

  • Provide assistance on a variety of duties as requested by the Executive Director

Project Support (3 days / month)

  • Assist staff with technical project work as needed.

 Other Duties as Assigned

 

Qualifications:

  • Minimum AA degree
  • Proficiency in Microsoft Office including Word, Excel
  • Valid driver’s license and reliable vehicle for errands
  • Ability to occasionally lift up to 40+ lbs
  • Superior communication skills
